I’m an automotive dealership consultant (for a major software provider) and most DMS (software providers for dealerships) provide tools to build and create reports that can provide you this exact information using the dealers current customer database. This is fairly basic data to have pulled so it should be easily accomplished.

You may not have access to those tools but your manager, or other management at the dealer, should be able to do this. I know the major DMS provides also allow exporting of reports to excel. Then you could copy and past vin data to the NHTSA site and then create customer appointments.

Unless you’re just trying learn how to use excel (or looking for a challenge) for this there has to be an easier way through the software the dealer currently uses and pays for. If no one at the dealer can help you, try contacting the DMS providers support team for help using their software to create that report.
