You didn’t say how many people you generally expect to be in the room at once, but as an “average furnished hotel conference room”, if anything like a regular “medium” meeting room in an office, I will assume 10-14 people. An enterprise-grade installed AV system in a room of that size, also with the requirements you mention (at a minimum), I would think you are looking at $10,000 minimum. To create a portable system of equal or similar quality could be +/-20% depending on a number of things.

You mentioned “quality sound experience”. That piece alone, for a high-quality mic solution suitable for 10-14 people, you should be budgeting $3-5k. That is not expensive when you think about it...at $5k and 10 people, you’re spending $500 on each person’s microphone.

Audio is by far the most important thing, too. Sure, a good camera is nice, but think about what your virtual participants will think about you/your business/ your stakeholders when they can’t hear you properly.

You should contact 3 local systems integrators and ask for their suggestions and quotes for this kind of system. Don’t pass out if someone quotes you $8-10k. Portability+quality may make this a little tricky.

There are LOTS of different ways to achieve what you want, however. Don’t let anyone sell you down the road of “ONLY this thing will work for what you want”.
